Why custom automation?
Off-the-shelf receipt scanners and bank feeds are useful, but they often stop short. They don't know your approval rules, your cost centres, the way your suppliers format invoices, or how a transaction in Karachi should be recorded for a parent company that reports abroad. The result is still a lot of manual work.
Quantum Axis designs custom workflows in which AI agents carry a document all the way from your inbox to a posted, reconciled entry in your own system. Our software is built by engineers working with AI coding agents, and the finance logic is designed by chartered accountants.
Human review stays in the loop. AI does the repetitive capture, coding and posting. A qualified Quantum Axis accountant reviews exceptions, signs off the month-end and remains accountable for the numbers.
What AI agents do in your accounting workflow
An AI agent is software that can carry out a multi-step task on its own: read, decide according to rules, act in other systems and ask a person when it is unsure. In accounting, agents can:
monitor email inboxes, shared drives and WhatsApp for new documents;
read PDFs, images and spreadsheets, including English, Urdu and multi-currency invoices;
match documents to purchase orders, goods received notes and contracts;
apply your chart of accounts, cost centres, projects, sales tax and withholding tax codes;
route items for approval to the right manager, with reminders;
post approved entries through the API of QuickBooks Online, Xero, Zoho Books, Odoo, SAP Business One or a custom ERP;
reconcile bank transactions and chase missing documents;
produce trial balances, reports and dashboards on schedule.
Document-to-ledger pipelinesFrom upload to posted voucher, with the source document attached to every entry.
ERP and software integrationsConnectors between your accounting system, bank, CRM, POS, payroll and e-commerce platforms.
Approval workflowsPurchase and expense approvals by amount, department or entity, with an audit trail.
Group consolidationMulti-entity, multi-currency roll-ups and intercompany matching.
FBR e-invoicing readinessInvoice data structures and integrations that support FBR digital invoicing and POS requirements.
Dashboards and modelsLive cash, profitability and KPI dashboards and financial models fed by the ledger.
How a project runs
Discovery: we map your current process, document types, systems and controls, and agree what success looks like.
Design: accountants define the posting rules, tax treatment and approval matrix; engineers design the integration.
Build: our engineers use AI coding agents to build and test faster, with every change reviewed by a person.
Test on history: the workflow is run on past months of your documents and compared with your existing books.
Parallel run: the automation runs alongside your current process for a month or more until results match.
Go-live and support: we monitor accuracy, handle exceptions and keep improving the rules.
Remote oversight instead of a large local team
For growing businesses with several branches, factories or companies, hiring bookkeepers at every location is expensive and hard to manage. With automated capture and posting, a Quantum Axis accountant can oversee your books from Islamabad for operations anywhere in Pakistan, and for overseas entities too. You get consistent processes across entities and one point of contact.
What still needs people
Judgement: accruals, provisions, revenue recognition, impairment and unusual transactions are reviewed by an accountant.
Sign-off: month-end and year-end closes are approved by a qualified person, not by software.
Regulated work: statutory audits and representation before tax authorities are carried out by appropriately qualified professionals.
Your responsibility: as a business owner or director you remain responsible for your accounts and filings, and we keep you informed and in control.
Is it right for you?
Custom automation tends to pay off when you:
process hundreds of documents or more each month;
operate several entities, branches, currencies or countries;
use an ERP or industry system that off-the-shelf tools don't connect to well;
have a backlog of unprocessed documents or a slow month-end close.
Smaller businesses usually start with our AI-powered bookkeeping service and move to custom automation as they grow.
Frequently asked questions
Will the AI post entries without anyone checking?
Only routine, high-confidence transactions that match rules you have approved, such as a recurring utility bill. Everything else goes to a person for review, and all postings are logged.
Who owns the software you build?
Ownership and licensing are agreed in your engagement letter. Typically you own your configurations, data and integrations, while we keep our reusable tools and frameworks.
Can you work with our existing system?
Usually, yes. If your system has an API, or supports imports, we can post into it. We confirm this during discovery.
