From PDF and photo to financial statements: how AI-powered bookkeeping works
AI & automation
How scanned invoices, receipts and bank statements in PDF or PNG become vouchers, a general ledger, a trial balance and financial statements, with AI doing the data work and accountants doing the review.

The problem with paper and PDFs
Most small and mid-sized businesses in Pakistan still run on documents: supplier invoices as PDF attachments, receipts photographed on a phone, bank statements downloaded each month, and expense claims sent on WhatsApp. Someone then has to type it all into the accounting system before anyone can see a profit figure. That manual step is slow, error-prone and often the reason month-end closes weeks late, and it makes FBR e-invoicing and sales tax reconciliations harder than they need to be.
Quantum Axis combines AI document processing with chartered accountant review, so your raw documents become a complete, reviewed set of books without hiring an in-house bookkeeper.
Human review stays in the loop. AI does the repetitive capture, coding and posting. A qualified Quantum Axis accountant reviews exceptions, signs off the month-end and remains accountable for the numbers.
Collect: you upload documents to a shared folder or email inbox, or send them on WhatsApp. PDF, PNG, JPG, scanned and photographed files all work, as do Excel and CSV exports.
Read: optical character recognition (OCR) and AI language models extract the supplier or customer, NTN and STRN, dates, invoice numbers, line items, quantities, sales tax, currency and totals. English and Urdu documents are supported.
Classify: each document is identified as a sales invoice, purchase invoice, receipt, credit note, bank statement, payroll record and so on, then matched to your chart of accounts, cost centres and tax codes using rules learned from your history.
Create vouchers: the system drafts payment, receipt, purchase, sales and journal vouchers, each linked to the original image so every entry can be traced to its source.
Post and reconcile: approved vouchers post to the general ledger. Bank statement lines are matched automatically to invoices and payments, and unmatched items are flagged.
Review: an accountant reviews low-confidence items, unusual transactions, accruals, prepayments, depreciation, withholding tax and other judgement areas, then closes the period.
Report: the trial balance, financial statements and management pack are produced and sent to you.

Controls and accuracy
Confidence scoring: every extracted field carries a confidence score. Anything below the threshold goes to a person, never straight to the ledger.
Duplicate detection: the same invoice sent twice, by email and WhatsApp, is caught before posting.
Tax checks: sales tax amounts are recalculated and compared with the rate expected for the item and province, and withholding tax is flagged where it should have been deducted.
Maths and totals: line items, tax and totals are cross-checked, and bank balances must reconcile to statements.
Audit trail: each ledger entry links back to its source document, who approved it and when, which makes audits and FBR enquiries much easier.
Learning from corrections: when an accountant corrects a coding, the rules for that supplier improve for next month.
Built for Pakistani businesses and their partners abroad
The pipeline handles PKR and foreign currency, federal and provincial sales tax codes, withholding tax, and English and Urdu invoices. Output can be posted to QuickBooks Online, Xero, Zoho Books, Odoo or a custom system. It also supports businesses with overseas parents or clients that need IFRS reporting packs. See our Pakistan tax guide for compliance requirements.
Data security
Documents are stored in access-controlled, encrypted storage, and only the team on your account can see them.
We sign an NDA before you share records, and we never ask for shared passwords to your accounting software.
AI providers are used under business terms that do not use your data to train public models.
Free consultation: we review sample documents and your current system.
Setup: we agree your chart of accounts, tax codes and upload channel, and run a pilot month.
Catch-up: if your books are behind, we process the backlog first.
Monthly cycle: you send documents, and we deliver the reviewed package by an agreed date each month.
Frequently asked questions
Can AI read handwritten or poor-quality receipts?
Often yes, but accuracy drops with blurred or handwritten documents. Those are routed to a person for review rather than posted automatically.
Do I still need an in-house accountant?
For day-to-day bookkeeping and monthly reporting, our team replaces the need for an in-house bookkeeper. Statutory audits are still carried out by your appointed external auditor, and we prepare audit-ready books for them.
Which accounting software do you post to?
QuickBooks Online, Xero, Zoho Books and Odoo are the most common. We can also deliver Excel ledgers or post to a custom system through an integration.
